Overview

Client Management allows you to maintain a comprehensive database of your customers, whether they are individual persons or companies. This information is essential for creating purchase and sale contracts and maintaining customer relationships.

Client Types

SGIVU supports two types of clients:

Individual Persons

Private individuals purchasing or selling vehicles. Includes personal information and contact details.

Companies

Business entities engaged in vehicle transactions. Includes corporate information and business contact details.

Managing Individual Clients

Adding a New Person

Navigate to Client Management

Access the Client Management section from your dashboard. You need the person:create permission to add new individual clients.

Enter Personal Information

Fill in the client’s details:
  • Full Name: First and last name
  • Email Address: Primary contact email
  • Phone Number: Contact phone number
  • Date of Birth: For age verification and record-keeping
  • Identification: ID number or driver’s license (if required)

Add Address Information

Enter the client’s address:
  • Street address
  • City
  • State/Province
  • Postal code
  • Country

Add Notes (Optional)

Include any additional information about the client’s preferences, requirements, or transaction history.

Save Client

Review all information and save the new client record. The client is now available for use in contracts.

Updating Person Information

Edit Client Details

Update client information at any time by searching for the person and selecting edit. Changes are reflected immediately across all related records.

Managing Company Clients

Adding a New Company

Access Company Management

From Client Management, select the Companies tab. You need the company:create permission to add new corporate clients.

Enter Company Information

Fill in the corporate details:
  • Company Name: Legal business name
  • Tax ID: Business tax identification number
  • Email Address: Primary business contact email
  • Phone Number: Main business phone line
  • Industry: Type of business (optional)

Add Business Address

Enter the company’s registered or primary business address with complete details.

Add Contact Person (Optional)

If applicable, include the name and contact information for the primary contact person at the company.

Save Company

Review all information and save the company record. The company is now available for business transactions.

Updating Company Information

Edit Company Details

Company information can be updated at any time. This is particularly useful when business details change or new contact persons are assigned.

Searching for Clients

SGIVU provides powerful search capabilities to quickly find any client in your database:

By Name

Search for individuals by first name, last name, or both.

By Email

Find clients using their registered email address.

By Phone

Search using phone number for quick client lookup.

By ID Number

Use identification numbers for precise matching.

By Company Name

Search using the business name for quick access.

By Tax ID

Use tax identification number for exact matches.

By Email

Find companies using their business email address.

By Industry

Filter companies by business type or industry.

Advanced Search Features

Multi-Criteria Search

Combine multiple search parameters to narrow down results. For example, search for persons in a specific city or companies in a particular industry.

Client Counters and Statistics

SGIVU provides real-time statistics about your client database:

Total Persons

View the total number of individual clients in your system.

Total Companies

See how many corporate clients you’re managing.

Recent Additions

Track newly added clients for follow-up and relationship building.

Address Management

Both persons and companies can have detailed address information:

Address Fields

  • Street Address: Primary street location
  • City: City or municipality
  • State/Province: Administrative region
  • Postal Code: ZIP or postal code
  • Country: Country name

Address Validation

The system validates address information to ensure data quality and consistency for official documents and contracts.

Client records are directly linked to purchase and sale contracts:

Client Selection

When creating a new contract, search and select the client from your database.

Auto-Population

Client information automatically populates contract fields, reducing data entry and errors.

Transaction History

View all contracts associated with a client from their profile page, creating a complete transaction history.

Data Privacy and Security

Permission-Based Access

Only users with appropriate permissions can view, create, modify, or delete client records.

Client information is protected and stored securely. Access is logged for audit purposes.

Confidentiality

Personal and business information is treated as confidential and used only for authorized business purposes.

Data Accuracy

Regularly review and update client information to maintain accurate records.

Best Practices

Regularly verify and update client contact information, especially before initiating new transactions.
Follow standard formats for phone numbers, addresses, and identification numbers to ensure data consistency.
For companies, verify tax IDs and business registration details to ensure legitimate transactions.
Use the notes field to record important details about client preferences, past transactions, or special requirements.

Troubleshooting

Verify you have the person:create or company:create permission. Ensure all required fields are filled correctly.
The system may warn you if similar client information already exists. Verify this isn’t a duplicate before proceeding.
Check your search terms and filters. Try broader search criteria or verify the client exists in the database.
Ensure you have the person:update or company:update permission. Check that you’re not violating any data validation rules.
Verify all address fields are filled correctly. Some fields may have specific format requirements.
